Hotel Vehicle Safety

Driving hotel vehicles exposes a hotel to great financial loss in the event of an accident, and precautions should be taken to lessen the potential burden of these losses.

Without proper screening and training of drivers and proper maintenance of vehicles, the potential for accidents and the liability associated with them increases.

Prompt and accurate reporting of vehicle accidents is also essential and many times mandated by state laws. The driver has the responsibility of knowing about the state laws governing the actions at the scene and accident reporting requirements.

Personnel at each hotel should be assigned the responsibility of investigating, documenting, telephoning and corresponding on all vehicle accidents to the insurance carrier. They should also be following up with the adjuster on proper claims handling procedures. Finally, one employee, typically the Director of Front Office Services (DFOS) should be assigned the responsibility of overseeing all aspects of the program.

Marsh Hospitality has developed such a program designed to address safety concerns of vehicles driven by hotel employees for the purpose of transporting guests as well as running errands and transporting employees for hotel business.

Some of the program highlights include:

  • Applicant Questionnaires;
  • Hiring and Retention Standards;
  • Consequences by Offense;
  • Ordering and Maintaining Motor Vehicle Reports;
  • Driver Testing and Training Procedures;
  • Road Tests;
  • Accident Procedures and Report Forms;
  • Vehicle Inspection Report Forms (Daily-Weekly-Monthly); and
  • Documentation of Vehicle Changes and Transfers.

If you would like more information or a copy of this program, contact Marsh's Hospitality Practice at (503) 248-6490 or notify your property's designated loss control consultant.

And remember...BUCKLE UP FOR SAFETY! Your life and the lives of others may depend on it.
